Every figure on a worksheet comes from the inputs you enter and the method stated beside it: your vendor's wholesale price and fees, your own price, your client count and your hours. Where a guide names a published rule, the document is cited with a path to the clause, and the figure is licensed in this repository's claims ledger before it appears on a page.

Your numbers

The figures start from a worked example ($1,111), one platform or one app from a typical small agency. Change any input and the sheet recomputes as you type.

The Rebadgo workspace signed in, on Proposals and price sheets, with a saved margin record open for the client Harbor Dental Group: a white-label platform at a $29 wholesale price, a $149 platform fee and a $500 setup fee, resold at $99 to 18 clients with 3 onboarding hours each at $45, showing $1,782 revenue a month, $671 vendor cost, $1,111 gross margin, $70 margin per client, a 62 percent margin, 2 clients to cover the fee and $13,332 a year, filed against the subscription.
Pro kept the margin worksheet as a record against the client and the product: the two prices, the fees and the margin, dated and filed with the subscription.

A white label platform is priced twice: once by the vendor to you, per client and per month with a setup fee, and once by you to your clients. This worksheet takes both prices, the flat platform fee, the client count and the hours it takes you to onboard each client, and returns the revenue a month, what the vendor charges you, the gross margin a month and a year, the margin per client, the gross margin as a share of revenue, the clients needed to cover the platform fee, the onboarding cost and the months of margin it takes to recover the setup fee. Every price is yours from your own reseller agreement; the sheet holds no vendor's list.

Keeping the client book instead of the spreadsheet

Upgrading turns a worked margin into a book. The platform you priced on the worksheet is filed as the product you resell, each client is filed against it with their seats and their price, the renewal date is a reminder rather than a surprise, and the proposal and the price sheet render under your badge from the book rather than being retyped.

  • Save a vendor's pricing and compare it with the next vendor's
  • Put two vendors side by side and see which leaves more per client
  • Share a margin sheet without our name on it
  • Send a client their renewal notice from inside the book
  • Not sold on this hub: a reseller invoices clients from its own billing, not through us
  • Not sold on this hub: the book's totals export to your accountant instead

White label platform margin calculator: what resellers ask

Why does the worksheet ask for a flat platform fee separately from the price per client?

Because most white-label platforms charge both, and the flat fee is what decides how many clients you need before the product earns anything. The break-even line divides that fee by the margin per client, which is the figure to negotiate.

What margin should a white-label reseller expect?

The sheet publishes no benchmark; the honest answer is whatever your vendor's wholesale terms leave after your price. Work it from the agreement and compare two vendors on the same sheet rather than on their partner pages.

Should onboarding hours be in the margin?

They are in the payback line, because the setup fee and the hours to onboard the first clients are what the gross margin has to recover before the product is earning. A platform that takes a day per client to onboard changes the answer more than the wholesale price does.
